Strategies for effective internal communication

Uplifting feedback

How can we make sure staff and community concerns and ideas get to the right people?


For leadership:

  • Create a system for collecting feedback + concerns

  • Suggestion box

  • Survey

  • One-on-one conversations with staff 

  • Be transparent about how you use feedback


For frontline staff:

  • Document and share the concerns you see and hear 

  • Use data to advocate for changes


Carve out time for reflection

How can we make sure the way we are communicating is working?

  • Remember - find a way to remember what you did in a concrete way so you can consider it later

  • Reflect - think about the ways you've been doing things and then consider if they're still effective

  • Act - try it a different way and then record your results - then start the process again


Helpful Tip: Normalize asking questions across your organization in writing, speech, and with your own example.


Breaking Down Silos

How can we build collaboration and communication across departments and programs?


For leadership:

  • Thoughtfully bring folks into conversation

  • Build cross-department communications

  • Regular meetings

  • Internal chats

  • Encourage collaboration across teams


For frontline staff:

  • Ask about what other programs are doing 

  • Use formal and informal meetings to build relationship across teams

  • Reach out to other teams for collaboration

  1. Organize your thoughts

  2. Identify your team

  3. Set up a meeting


Getting everyone on the same page

How do we make sure staff and community members have the information they need?


For leadership:

  • Schedule regular updates 

  • Use clear language to explain the choices your making 

  • Be proactive in addressing staff questions and concerns

  • Create templates to streamline communication


For frontline staff:

  • Ask for the information you need

  • Use meetings or internal chats to share your work and your concerns

  • Build relationships with other staff 


Clear Email Communication

  • Reflect on your audience - prioritize what they need to know

  • Limit information - stick to 1 or 2 topics or requests

  • Close the loop - communicate any relevant timelines and/or needed responses

  • Pay attention to your words - write simple direct sentences
